How to track employee calls legally, with a written policy and consent

How to track employee calls in India fairly comes down to four choices made in advance: which phones and SIMs, what is recorded, who sees it, and how staff are told.

Can you track an employee's phone?

Knowing how to track employee calls starts with ownership: track work calls on work SIMs or company phones, tell staff in writing what is collected and why, and keep personal numbers out. India has no single rule on tracking staff calls, but the DPDP Act 2023 will apply to the personal data involved, with its main duties expected from about 13 May 2027.

General information, not legal advice. Official sources were read on 5 and 6 October 2026.

Tracking employee calls means keeping a record of the work calls staff make and receive, usually the number, time, duration and outcome, and sometimes a recording. In India no single law sets out how an employer may do this, so the safe method rests on three ideas: track work, not people’s private lives; tell staff exactly what is collected before it starts; and treat the records as personal data. That last point matters more each year. The Digital Personal Data Protection Act 2023 applies to digital personal data, and a sales team’s phone numbers, call notes and recordings all fall within it, and MeitY’s notification of 13 November 2025 puts its main duties (notice, a lawful basis, security safeguards and erasure) at about 13 May 2027. In practice the cleanest setup is a company SIM or work phone running a dialer that logs calls as part of the job. Weo Dialer, a calling CRM app by Weomate, does this: the owner chooses which SIMs back up to the business account, and excluded numbers never leave the phone.

Steps to track employee calls fairly

Step Where Result
1. Decide what is tracked A one-page written policy Calls, outcomes, recordings and attendance listed plainly
2. Tell staff and get it signed Team meeting, then the signed page on file No surprises and fewer disputes later
3. Separate work and personal Work SIM or company phone Personal calls stay outside the business account
4. Install the dialer Each work phone, signed in to the business account Work calls land in the team log with their outcomes
5. Choose SIMs and exclusions Backup SIM choice and excluded numbers list Only the work SIM backs up; family numbers are left out
6. Set who can delete Admin delete permissions Records cannot quietly disappear, or can, as you decide
7. Review on a fixed day Weekly look at the team log and analytics Feedback based on records, not guesses

Track employee calls with a written policy

A policy does not need a lawyer to be useful; it needs to answer the questions staff will ask. Which phone and which SIM are tracked? Are calls recorded, and if so, who listens and why? Who sees the reports: the owner only, or team leads too? Is location checked, and when? How long are records kept, and what happens to them when someone leaves? Read it out at a team meeting, hand it over in writing, and keep a signed copy. The same habit will help with customers: from about May 2027 the DPDP Act expects a clear notice of what personal data is held and why.

Track employee calls without touching personal ones

Most disputes start when a personal call shows up in a work report. Three settings in Weo Dialer prevent that. SIM choice decides which SIMs back up, so on a dual-SIM phone only the work SIM reaches the account. Excluded numbers keep chosen contacts, such as family, out of backup and out of all automation. Delete permissions let the admin choose whether something erased on a handset disappears from the account as well. Staff should know all three settings exist and how each one is set. Backup, restore and the other account controls are described under calling CRM data security.

Track employee call recordings carefully

Recording is the most sensitive part. Weo Dialer does not record calls itself; it imports the recordings a phone’s own recorder makes, or takes a recording shared into the app. Whether a phone records at all depends on its make and settings. Some recorders announce the recording: Google’s help page for its Phone app says that both parties are notified with a disclosure when recording starts. No official Indian rule on a business recording its own customer calls was found, so tell staff and, where practical, customers, and limit who can listen.

Track employee calls example

An illustration with round numbers, not a customer result.

A travel agency in Hubballi has 5 sales executives who call holiday enquiries. Before switching phones, the owner writes a one-page note: work SIMs only; calls, outcomes and the phone’s own recordings are kept; the owner and one team lead can see them; records stay with the business when someone leaves. Each executive signs it. The company SIM is set as the only backed-up SIM, and each person adds their family numbers to the excluded list on day one.

Every Friday the owner opens the team log and the analytics rings for the week, listens to two recordings per person with them present, and agrees one thing to change. One executive’s calls connect often but rarely end with a booked quote; the recordings show the price is mentioned before the customer’s dates, and the order is swapped.

Track employee calls: limits

  • Live location through the day is not covered. Location is checked only at selfie check-in and saved with visit remarks; there is no all-day map trail.
  • Calls outside the app are invisible. Desk phones, other handsets and personal SIMs that are not backed up do not appear.
  • iPhone call logs cannot be read. The iPhone app has every feature except the phone’s call log.
  • This is not legal advice. For a policy covering many staff, have it checked. The owner’s dashboards are described on the call tracking app for employees page, and the calling rules for customers in auto dialing rules in India.

Tracking employee calls fairly FAQ

What apps do employers use to track employees?

For staff who sell by phone, employers mostly use dialer or calling CRM apps that log work calls and their outcomes, often alongside an attendance app. For desk teams, cloud telephony with central call logs is the usual choice. Pick whichever records the work itself, not the person's whole phone.

Do I need staff consent to record their work calls?

No official TRAI, DoT or MeitY rule on businesses recording their own calls was found. Tell staff before you start and put it in writing; once the DPDP Act's main duties apply, a recording of a customer's voice is personal data that needs a lawful basis, notice and security. This is general information, not legal advice.

Which app helps with how to track employee calls without seeing personal calls?

The best answer to how to track employee calls without touching personal ones is a dialer that lets you choose which SIM is backed up, and Weo Dialer works that way: only the chosen SIMs reach the business account, and excluded numbers stay out of backup and automation.

Is Weo Dialer a tool for tracking employee calls?

Weo Dialer is a calling CRM that doubles as a tool for tracking employee calls: staff dial from it, each call is linked to a lead and its outcome, and the owner sees the team's calls and analytics on one account. It does not track live location or read messages.

Should employees be told before call tracking starts?

Yes. A short written note that lists what is tracked, which SIM, whether recordings are kept, who can see reports and how long data is held prevents most disputes, and it is the same kind of notice the DPDP Act will expect for customer data.
