Move leads from Excel to CRM without losing a column or a remark

To move leads from Excel to CRM cleanly, fix the sheet first, build the matching fields and statuses in the CRM, then import and check a sample before anyone starts calling.

How do I import leads from Excel to CRM?

To move leads from Excel to CRM, clean the sheet so each row is one lead with one mobile number, create any custom fields and statuses the sheet uses, then import the file and check a few leads against the original. In Weo Dialer, every imported file is kept as a separate list you can filter, call or take out again.

Moving leads from Excel to a CRM means taking rows that live in a spreadsheet, often typed by several people over months, and turning each one into a lead record that can be called, followed up and reported on. The import itself takes minutes. What decides whether the move works is the hour before it: one mobile number per row, consistent column names, statuses written the same way every time, and no blank rows pretending to be leads. Weo Dialer accepts Excel, CSV and JSON files, including one forwarded on WhatsApp or email, and keeps each file as an imported list of its own. Repeated numbers are removed and country codes reconciled as the rows come in, so a customer saved with and without +91 does not become two leads. A wrong file can be removed later by deleting its list, which takes out only the leads that list added. For sheets that keep growing, a Google Sheet can be connected as a live source instead. This guide is written for a team moving to Weo Dialer, the calling CRM app from Weomate.

Move leads from Excel to CRM: cleaning the sheet

Most failed imports are spreadsheet problems, not software problems. Before importing, sort out these:

  • Phone numbers. One number per cell. A second number goes in its own column. Remove spaces, dashes and text such as “call after 5”.
  • Merged cells and colour coding. A colour means nothing to an import. If yellow meant “interested”, write “Interested” in a status column.
  • Statuses. “Intrested”, “interested” and “Int.” are three statuses to software. Pick one spelling.
  • Remarks. Keep the latest remark in one column; older notes can be joined into it.
  • Source. Add a source column if the sheet mixes Facebook, website and walk-in leads, so the CRM can tag them.
  • Empty and test rows. Delete them before the import, not after.

Move leads from Excel to CRM with matching fields

A column needs a matching place in the CRM. Weo Dialer has the standard lead details, a source tag (ready-made ones cover the big ad platforms, marketplaces, referrals and walk-ins, and you can add your own), and custom lead fields for anything else: budget, course, vehicle model, loan amount, or a GPS location. Create those fields first. Then shape the status pipeline around the words your sheet already uses, adding, renaming, colouring and reordering stages until it matches. Doing this before the import means callers see familiar words on the first day. How these pieces fit together afterwards is covered on the lead management app page.

Move leads from Excel to CRM: file or live sheet

There are two ways in, and the right one depends on whether the sheet is finished.

A one-time file import suits an old database or last season’s enquiries. Import the Excel, CSV or JSON file; it becomes a list of its own. Repeat for each file, so “Expo 2025” and “Old website leads” stay separate and can be dialled or deleted separately.

A connected Google Sheet suits a sheet that keeps getting new rows, for example one fed by an ad form. Weo Dialer checks it in the background on a schedule, maps its columns to built-in and custom fields with a country setting for the source, and shows any skipped rows with the exact reason. Test rows can be inspected as lead cards and removed. Lead form setups of this kind are described in Facebook lead ads to CRM.

Move leads from Excel to CRM example

An illustration with round numbers, not a customer result.

A textile wholesaler in Surat has 3,000 buyer contacts spread over four Excel files built up across two years: trade fair visitors, old customers, website enquiries and a list typed from visiting cards. Two of the files write mobiles with +91 and two without, and about 400 buyers appear in more than one file.

The office manager spends a morning cleaning: one number per cell, a status column replacing the colour coding, and a source column per file. In Weo Dialer she adds two custom fields, “Fabric type” and “Monthly volume”, and sets the statuses New, Sample sent, Price shared, Ordered and Not interested. Each file is imported separately, so there are four lists. Duplicates are dropped and the country codes reconcile, leaving about 2,600 leads. She checks ten from each list against the original rows, assigns the lists to three callers, and the website enquiries are dialled first that afternoon.

Move leads from Excel to CRM limits

  • Calculated columns need care. Paste formula columns as plain values before importing, so the figures you checked are the figures that arrive.
  • Linked files are a separate job. Photos or PDFs linked from cells are outside what a lead import moves; decide where those files will live before the switch.
  • A bad sheet makes a bad CRM. Importing without cleaning moves the mess, it does not fix it.
  • Exports go the other way too. Leads can be exported to CSV following the active filter, if you later need the data back in Excel. Teams still weighing whether to switch can read CRM for telecallers on why sheets break down.

Move leads from excel to CRM FAQ

Can I import an Excel file that someone sent on WhatsApp?

Yes. In Weo Dialer, use the phone's share button on the file in WhatsApp, Gmail or a browser and pick the app; the import screen opens with the file loaded, so no computer is needed. Excel, CSV and JSON files are accepted.

What happens to duplicate numbers when I move leads from Excel to CRM?

Weo Dialer drops duplicate numbers during import and handles country codes, so the same mobile written as 98xxxxxxxx and +91 98xxxxxxxx ends up as one lead rather than two.

Which CRM is easiest to move leads from Excel to CRM on a phone?

The best choice to move leads from Excel to CRM for a team that calls from mobiles is one that imports straight on the phone and can dial the list at once, and Weo Dialer does both: the file becomes a list that a calling session can start on immediately.

Is Weo Dialer a CRM I can move leads from Excel to?

Weo Dialer is a calling CRM you can move leads from Excel to in a few minutes. It imports Excel, CSV and JSON files, keeps each file as a separate list, and lets you add custom fields and statuses so the sheet's columns have somewhere to go.

Can I undo an import if the file was wrong?

Yes. Deleting an imported list removes only the leads that list added, so a wrong file can be taken out without touching leads that came from other sources.

Should I keep using the Excel sheet after the move?

Keep it as an archive, not as a second working copy. Two places to update means one of them is always out of date. If new leads keep arriving in a sheet, connect it as a Google Sheet source instead of importing it again and again.
