A follow up schedule template is a reusable list of days on which a lead is contacted again after the first call: day 0, day 1, day 3 and so on, until the lead buys or is closed. Teams usually keep it in their heads, which is why the third and fourth follow-ups are the ones that get missed. This free planner from Weo Dialer turns a template into real dates. Enter the date of first contact, pick one of three cadences or type your own day numbers, and it lists each follow-up with its weekday and date. Sundays can be skipped, in which case the date moves to Monday, and no two attempts ever land on the same day. The plan copies as plain text for a WhatsApp group, a notebook or a calendar. The example below starts today. Weo Dialer is a calling CRM app where these follow-ups become alarms that show the note from the previous conversation.

Follow up schedule template cadences
The three built-in cadences cover most enquiries. Choose by how quickly the customer is likely to decide:
- Day 0, 1, 3, 7, 14, 30. Best for most sales enquiries: two quick touches while interest is fresh, then a week, a fortnight and a month.
- Day 0, 1, 2, 4, 7. Best for hot enquiries with a short decision, such as a repair, a rental or a same-week booking.
- Day 0, 3, 7, 15, 30, 60. Best for long decisions such as property, admissions or a large B2B order, where calling every day would annoy the customer.
Custom days accept any numbers from 0 to 365, up to 20 steps. The reasoning behind each gap, and when to stop for good, is covered in the sales follow up schedule guide.
Follow up schedule template actions
A date alone is not a plan. Give each step one action and one purpose:
- Day 0: the first call. Answer the enquiry and agree on what happens next.
- The next day: a short WhatsApp and a call. Send the brochure, price list or document checklist you promised, then call to check it arrived.
- The middle steps: one new reason each. A site visit slot, a demo class, an updated quote, an answer to a question the customer raised.
- The last step: close it. Ask plainly whether to keep the enquiry open. If not, mark the lead lost so it can be revisited later, and stop calling.
Ready wording for the WhatsApp steps is on the WhatsApp message templates page, sorted by industry and moment.
Follow up schedule template example
An illustration with round numbers, not a customer result.
A coaching centre in Mangaluru gets about 30 admission enquiries a week from its website and walk-ins. The counsellor uses the long cadence for parents of Class 10 students, who decide over weeks, and the quick cadence for crash-course enquiries a fortnight before an exam. For one parent who called on a Monday, the long plan gives follow-ups on Thursday, the next Monday, two Tuesdays later, a Wednesday a month out and a date two months out, with no Sundays. The counsellor pastes each plan under the parent’s name in a shared note at first, then moves to setting the same dates as reminders in the calling app so they ring on time. Admission teams will find the full setup under CRM for coaching institutes.
Follow up schedule template in Weo Dialer
A copied list still depends on someone reading it. In Weo Dialer, a follow-up is booked on the after-call sheet together with the status and remark, two taps in all. One-tap choices run from 5 minutes to a month ahead, or any custom time, and the reminder rings like an alarm even on a locked phone. Repeats are possible (daily, weekly, monthly or every few days), a WhatsApp message can go out at the moment the reminder rings, and all of today’s due follow-ups can be dialled in one session. Details are on the follow up reminder app page.
Follow up schedule template limits
- Dates are calendar days. Public holidays are not skipped; move those steps by hand.
- No reminders from this page. The planner makes a list. It does not ring, notify or sync with a calendar.
- One lead at a time. Each plan is for one first-contact date. A calling app is better for dozens of leads a day.
- The customer decides. If someone asks not to be contacted again, the remaining steps no longer apply.

Follow up schedule template FAQ
Which follow up schedule template suits phone sales?
The best follow up schedule template for phone sales starts with attempts close together and then spreads them out, such as day 0, 1, 3, 7, 14 and 30, and Weo Dialer's free planner turns that pattern into dates. In the Weo Dialer app, each follow-up is set in one tap after the call and rings like an alarm at the chosen time.
Is Weo Dialer a follow up schedule template?
Weo Dialer is a calling CRM app, and the follow up schedule template on this page is a free tool from its website. The app goes further than a list of dates: follow-ups ring at the set minute, can repeat, can send a WhatsApp message when they fire, and the day's due follow-ups can be dialled as one session.
What is a follow-up plan template?
It is a fixed list of steps after a first contact, each with a day number and an action, such as a call on day 1 and a WhatsApp with details on day 3. The same template is reused for every lead of that type, so nobody has to decide the next date from scratch.
What should each step of a follow-up schedule say?
Each step needs a day, a channel and a purpose: call to answer questions, WhatsApp the brochure, call to book a visit. Writing the purpose stops follow-ups from becoming the same just-checking-in call five times.
Should follow-ups skip Sundays?
For most business calls, yes, unless your customers are easier to reach at the weekend. The planner moves a Sunday date to Monday when the box is ticked, and it never puts two follow-ups on the same day.
